Specific considerations for creating private lessons tasks

With group & program lessons, your school might have a 1:1 relationship between lesson products in your POS and tasks in flaik. When it comes to privates though, the best course of action in flaik is typically to have significantly fewer tasks compared to the number of lesson products in their POS - potentially as few as one task per discipline.

Wait...why?

Most resorts will typically have an individual product for each combination of discipline, duration, & start time. This allows frontline staff and website users to pick a product for a predefined start time and lesson length.

But when it comes to private tasks in flaik, a unique task for each duration/start time combination isn't required as flaik will inherit the start time and duration from the POS product.

The Benefit - Multi-Day Series

The real benefit to creating as few private tasks in flaik as possible is related to the concept of Multi-day Series in Private Focus Mode in Scheduling. Whenever a guest purchases more than one private lesson, Tasks view will display a flag on the task tile indicating there are multiple lessons to account for.

What are the biggest benefits of a multi-day series & Private Focus Mode? It all comes down to saving time and effort.

  • View instructor availability for all lesson days in the series to find the best fit

  • Assigning an instructor on day 1 will assign an instructor on all days

How Does It Work

How does flaik identify a series of private lessons? Private lessons will belong to a series as long as:

  • They have the same primary guest, and;

  • They have the same flaik task, and;

  • The number of days between the private lessons is less than or equal to 7 days.

The second point listed above is the primary reason why it's best to have as few private tasks in flaik as possible. Having a multi-day series identified in Scheduling makes it that much easier to assign the same instructor for all the days.

Let's say a guest purchases a variety of different privates - eg a PM on day 1, a full day private for the next day, and a AM the next day.

  • If there is one flaik task for all private lessons of the same discipline, the guest from this example would be identified in Private Focus Mode as a series.

  • If each private lesson product had a unique flaik task, the example guest above would not be identified as a series. This would make it more challenging to assign the same instructor for all the lesson days.

The Bottom Line

Minimizing the number of private lesson tasks used not only makes mapping easier but more importantly it makes it easier to have a multi-day series identified and to assign the same instructor for all lesson days.

Task Configuration

When creating a private task in Product Settings, the start and end time need to be added in order to save the task. These values will be overwritten as private lessons sync from your POS into flaik Scheduling.
