Welcome to flaik! The following guide is intended to give you rough time estimates required to set up the website and features. flaik is very customizable, so you may find you’re spending more time in some areas and less in others. Please reach out to us if you’d like to discuss how these suggestions will apply to your specific operation. We’re thrilled to be working with you!

You’ll receive an invite to flaik so you can log into your brand new site! After finishing our Quick School Setup, invite your coworkers to join in the fun.

Introductory Call

The initial call is designed to understand the goals you have with flaik and create an onboarding plan that will help you meet them. We want to ensure we’re tailoring your site to your unique operation.

Site Setup - General Settings

These are the basics that will structure how various areas of the site will function.

Site Setup - Product Settings

Aug-Oct

This is the meat and potatoes of settings. The configuration here will influence how you use the features flaik offers. The most important areas to start with are:

  • Scheduling

  • Class Management

  • Timekeeping

Other products can be configured a bit closer to the start of season.

Training- Webinars

We offer Webinars to dive deeply into each of flaik’s features and recommended practices. We cover a lot of content in these, so we recommend you review the recordings after to see how you can best utilize the features for your operation.

Payroll Configuration- Timekeeping Export

Payroll Admin: 2-3 hrsflaik: 2-3 hrs

We’ll format the export from Timekeeping to flow into your payroll software seamlessly.

API Installation- Point of Sale Integration

Sept

Resort IT: 2-4 hrsflaik: 4-6 hrs

Initially, we’ll send your IT team a questionnaire to streamline the integration process. We’ll outline how our API integrates with your Point of Sale and communicate the install and permission requirements. Once the details are defined, the install should be breezy.

Product Mapping Meeting

Sept/Oct

Ski School: 1hrflaik: 1hr

Now that we’re connected to your POS, let’s map your POS products to flaik products and, like magic, all your sales data will appear!

Feature Testing

Sept/Oct

Ski School- 6-8 hrs

The bulk of your site has been setup! Now it’s time to try out the features, make sure the data is flowing properly, and decide what other aspects of flaik you’d like to roll out this season.

Pre-Season Training & Support (Virtual)

Sept-Nov

Training isn’t just a once-and-done activity - it’s a continuous process as you get more comfortable with the software. We offer ongoing support for those setting up the site as well as for Supervisors and Managers who will be using the system throughout the season.

On Site Training

November

Ski School: 8 hrsflaik: 30 hrs

Time for us to drop in - we’ll see you at the resort to make sure that you’ve got activities like scanning and class management dialed. We’ll also take the time to look at your morning process to ensure we minimize the impact of scanning on the time to snow for your guests.

On Site Review

January

Ski School: 6 hrsflaik: 12 hrs

It’s your first season, we’ll come out in January to help you get things dialed now that you’ve made it through your first Christmas using flaik. We’ll facilitate feedback from your crew and look at the processes you have to make sure you’re on the right track.

Hiring/Job Offers

Uploading Candidates: 1 hr Jobs + Offers setup: 8 hrs

Job Offers are typically the first place to get started when using flaik. Depending on the resort, these typically start in July and run through September.

Staff Management

July - June

Minimal if using hiring process

If you’ve used hiring, you’re staff will automatically onboard to staff management after accepting their job.

Availability Calendars

Sept/Oct - November

variable: 1 day - 1 week depending on complexity

Time to get your first taste of how flaik can make your life easier. September/October is usually the time when folks send out their availability calendars and start locking in instructors’ commitments.

Scheduling

October - May

Ongoing process, see “Site Setup - Product Settings” for setup time commitment

Once you’ve got your staff availability back, you’re ready to jump into scheduling. This one doesn’t stop - it’s life from now till the end of the season.

Initial setup of ski school training program

October - November

6-8 hrs, 20 min/clinic

Typically, schools are setting up their training calendars in October/November.

Ongoing refinement of ski school training program

It’s getting toward the end of the season, time for end of season evaluations. We’ll help you setup and configured your evals so that you’ve got confidence as you rollout to your team in the final month of the season.

Season Wrap-Up

April-June

Ski School: 1.5hrsflaik: 1.5hrs

Your season has ended, its time to tie off the last loose ends so your setup for next season is a breeze. We’d love to setup a meeting to see how the season went!
