Private Focus Mode

Assign individual private lessons and multi-day series in a snap.

The goals of Private Focus Mode

As you have read in this section so far, Tasks view in Scheduling gives you all the tools you need to make your task assignments and put together your plan for the day. For some tasks (especially those unrelated to teaching) you can just drag, drop, and keep it moving.

For other tasks however, particularly private lessons, you may want to be a bit more intentional with your assignments. Enter Private Focus Mode.

Private Focus Mode gives you the oversight to ensure your guests are taught by the best instructor for them so they have a great experience at your school and keep coming back for more. Here's a quick breakdown of what you can do with this feature:

  • See detailed information about each sale

  • View instructor availability

  • Compare instructor schedules to find the best fit

  • Filter instructors by skill set, certification, and more

  • View all days of a multi-day private at once

  • Assign multi-day privates with one click

Getting around the interface

Opening Private Focus Mode is as simple as clicking on any private lesson that synced over from your point-of-sale. There are two ways to do this:

  • Find a private in the Guests tab on the left hand side of Tasks view and click on it.

  • Find a private that has already been assigned, hover your mouse over it, and click on the eye icon that appears.

That's it, you're in. Let's check it out!

Just like in Tasks view, you've got a list of all your guests on the left-hand side of the page. Click the Privates category to see a list of all the lessons that you've still got to assign.

Looking for someone who already has an assigned instructor? Check the Assigned category.

On the right hand side of the page, you'll see two arrows near the Edit button that let you cycle between all the private lessons for the day.

You also have the shortcut button <- Back to all tasks for exiting Private Focus Mode and returning back to Tasks view.


Status - green, yellow, red

When you're looking through the list of your instructors for the day, Private Focus Mode will organize them by their availability to teach the selected private.

Green

This instructor's schedule is clear for the lesson. If the guest has a series of private lessons, this instructor is available to teach all of them.

Yellow

This instructor's schedule is not clear, but their current assignments may be rescheduled in order to make room. This flag will show when an instructor has an On shift, but there's another task on the schedule that is in conflict with the private lesson you're viewing.

Red

This instructor's schedule is not clear and their current schedule should probably not be adjusted to assign them this private.

Note: The red Unavailable status will only show for instructors who are:

  • teaching a request private lesson at that time, or;

  • who have an Off shift scheduled for that day.


Using pins and filters to find the right instructor

In addition to the green, yellow, & red status system, Private Focus Mode also lets you pin instructors to the top of the list so you can easily compare their schedules side-by-side and make the best pick.

Filters are also available here and will influence the list of instructors just as they would in Tasks view. This is a page where building filters and saving them to access later will really speed up your workflow.

Assigning a multi-day series

Whenever a guest purchases more than one private lesson, Tasks view will display a flag on the task tile indicating there are multiple lessons to account for.

How does flaik identify a series of private lessons? Private lessons will belong to a series as long as:

  • They have the same primary guest, and;

  • They have the same flaik task, and;

  • The number of days between the private lessons is less than or equal to 7 days.

Private Focus Mode is where the multi-day series feature really shines. Even though you can only view one day at a time in Tasks view, Private Focus Mode will display all the days of an instructor's schedule that are relevant for the series you're trying to assign.

To make the assignment, you've got two choices - assign the entire series at once, or assign one day at a time. Clicking the Assign instructor button next to their name will automatically assign every day of the series, whereas clicking the Assign instructor button next to the date will assign just that one day.

Note: You will need to start an edit flow before you can make an assignment. Click the Edit schedule button on the upper right corner of the page to start editing.
