## The goals of Private Focus Mode

As you have read in this section so far, Tasks view in Scheduling gives you all the tools you need to make your task assignments and put together your plan for the day. For some tasks (especially those unrelated to teaching) you can just drag, drop, and keep it moving.&#x20;

For other tasks however, particularly private lessons, you may want to be a bit more intentional with your assignments. Enter Private Focus Mode.&#x20;

Private Focus Mode gives you the oversight to ensure your guests are taught by the best instructor for them so they have a great experience at your school and keep coming back for more. Here's a quick breakdown of what you can do with this feature:

* See detailed information about each sale
* View instructor availability
* Compare instructor schedules to find the best fit
* Filter instructors by skill set, certification, and more
* View all days of a multi-day private at once
* Assign multi-day privates with one click

Keep reading to see what it looks like.&#x20;

## Getting around the interface

Opening Private Focus Mode is as simple as clicking on any private lesson that synced over from your point-of-sale. There are two ways to do this:

* Find a private in the Guests tab on the left hand side of Tasks view and click on it.
* Find a private that has already been assigned, hover your mouse over it, and click on the eye icon ![](https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FgWKA4ZknHm4xjkUqhzk0%2Fimage.png?alt=media\&token=23dce621-7b4f-4af8-a4f2-732ad62500e9) that appears.

That's it, you're in. Let's check it out!

{% tabs %}
{% tab title="Guests tab & quick navigation" %}

<div data-full-width="false"><figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FGQ1WjhPiww70B6XrkMKw%2Fimage.png?alt=media&amp;token=f1fac487-b065-4759-a9c0-b54b255c3b60" alt=""><figcaption></figcaption></figure></div>

Just like in Tasks view, you've got a list of all your guests on the left-hand side of the page. Click the Privates category to see a list of all the lessons that you've still got to assign.&#x20;

{% hint style="info" %}
Looking for someone who already has an assigned instructor? Check the Assigned category.&#x20;
{% endhint %}

On the right hand side of the page, you'll see two arrows near the <mark style="color:blue;">**Edit**</mark> button that let you cycle between all the private lessons for the day.&#x20;

You also have the shortcut button **<- Back to all tasks** for exiting Private Focus Mode and returning back to Tasks view.&#x20;
{% endtab %}

{% tab title="Lesson card" %}

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FkN6gW8lTDfPASFPQWxWO%2Fimage.png?alt=media&amp;token=2a37ef36-7007-4367-953a-339a87fd952d" alt=""><figcaption></figcaption></figure>

All the relevant information for a private lesson will appear at the top of the page in the lesson card. Private Focus Mode will expose as much useful information right up front and center in the **Summary** view, but you've got three other views to explore as well.

{% hint style="info" %}
Use the <mark style="color:blue;">**View more**</mark> button to see an expanded version of these views.
{% endhint %}

#### Guest & Sales information

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FjNyrUGn2krcWpZgjVHpd%2Fimage.png?alt=media&amp;token=d02472df-ef58-47bf-9054-9ed6dd537c8e" alt=""><figcaption></figcaption></figure>

Guest & Sales information shows you useful data from your point-of-sale system. Product code, order ID, and line number are included here so you can easily find the lesson in your POS, if needed.

#### Scheduling information

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2Ff8quLj96PMqrH6IfBmOA%2Fimage.png?alt=media&amp;token=8a3e2568-be1f-4775-b69d-e0ddfff0220b" alt=""><figcaption></figcaption></figure>

Scheduling information is the most useful for multi-day series. This view makes it easy to spot situations where multiple instructors are assigned to one series.&#x20;

#### Notes

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FJDV2UtdIdYoVEeG3bqE7%2Fimage.png?alt=media&amp;token=2665ee6d-8ffa-491c-a2b7-68173520852d" alt=""><figcaption></figcaption></figure>

If available, you will see any notes in your point-of-sale related to this lesson. You've also got the ability to contribute your own notes right in flaik by hitting <mark style="color:blue;">**View more**</mark>.&#x20;
{% endtab %}

{% tab title="Find an instructor" %}

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FSLFyHdMHC0qLB8iZWAv3%2Fimage.png?alt=media&amp;token=17f2474e-c65c-4c53-8feb-db7eb39ec4a9" alt=""><figcaption></figcaption></figure>

By default, all your staff with an On shift will appear in this list. This is where you can quickly identify instructors who are available to teach the lesson and assign it. Keep reading to learn more about what each status means.
{% endtab %}
{% endtabs %}

***

## **Status - green, yellow, red**

When you're looking through the list of your instructors for the day, Private Focus Mode will organize them by their availability to teach the selected private.&#x20;

#### Green

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FpYRfFnuamfXPHMsXVvMb%2Fimage.png?alt=media&amp;token=a430d504-8d20-4838-843f-8f7fe124c6d5" alt=""><figcaption></figcaption></figure>

This instructor's schedule is clear for the lesson. If the guest has a series of private lessons, this instructor is available to teach all of them.&#x20;

#### Yellow

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FhByrW39tftYrXkn0PKOD%2Fimage.png?alt=media&amp;token=d2eb1e68-00fa-4cba-858a-f899e1523f78" alt=""><figcaption></figcaption></figure>

This instructor's schedule is not clear, but their current assignments may be rescheduled in order to make room. This flag will show when an instructor has an On shift, but there's another task on the schedule that is in conflict with the private lesson you're viewing.&#x20;

#### Red

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FA4v2On5FmSGIRzJTC71I%2Fimage.png?alt=media&amp;token=76a5fda5-c510-4fb4-9b74-8c20865f1414" alt=""><figcaption></figcaption></figure>

This instructor's schedule is not clear and their current schedule should probably not be adjusted to assign them this private.&#x20;

{% hint style="info" %}
**Note**: The red <mark style="color:red;">Unavailable</mark> status will only show for instructors who are:

* teaching a request private lesson at that time, or;
* who have an Off shift scheduled for that day.
  {% endhint %}

***

## Using pins and filters to find the right instructor

In addition to the green, yellow, & red status system, Private Focus Mode also lets you pin instructors to the top of the list so you can easily compare their schedules side-by-side and make the best pick.&#x20;

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FzIHOtmmOCBkI6sODWCR8%2Fimage.png?alt=media&amp;token=763d2e95-d768-496c-a8d4-4b4554c3edbd" alt=""><figcaption></figcaption></figure>

Filters are also available here and will influence the list of instructors just as they would in Tasks view. This is a page where building filters and saving them to access later will really speed up your workflow.&#x20;

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FbIpk8pVnTrxtFJkNUebD%2Fimage.png?alt=media&amp;token=52210373-cba4-4955-9cb3-59c381919c7b" alt=""><figcaption><p>Building a filter for snowboard instructors with a Level 1 certification.</p></figcaption></figure>

Check out [Creating, Saving & Sharing Filters](/flaik-knowledge-base/for-sups-managers/filters/creating-saving-and-sharing-filters.md) to learn more. &#x20;

{% hint style="success" %}
If you're using filters and pins at the same time, the filters will *not* exclude pinned instructors - regardless of your filter criteria.&#x20;
{% endhint %}

## Assigning a multi-day series

Whenever a guest purchases more than one private lesson, Tasks view will display a flag on the task tile indicating there are multiple lessons to account for.

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FPbyhjCScw2ljzhCS2g89%2Fimage.png?alt=media&amp;token=1adf0aba-00ca-463f-936b-004fd9d0a1cf" alt="" width="295"><figcaption></figcaption></figure>

{% hint style="info" %}
How does flaik identify a series of private lessons? Private lessons will belong to a series as long as:

* They have the same primary guest, and;
* They have the same flaik task, and;
* The number of days between the private lessons is less than or equal to 7 days.

If you'd like to learn more about the way flaik processes sales from your point-of-sale, check out our article on [POS Sync & Processing Logic](/flaik-knowledge-base/for-sups-managers/pos-sync-and-processing-logic.md).
{% endhint %}

Private Focus Mode is where the multi-day series feature really shines. Even though you can only view one day at a time in Tasks view, Private Focus Mode will display all the days of an instructor's schedule that are relevant for the series you're trying to assign.&#x20;

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2FCJtxwmiQwAbP9oGFLQYA%2Fimage.png?alt=media&amp;token=da883ca1-c63d-4ab3-9298-335dfe96c393" alt=""><figcaption></figcaption></figure>

To make the assignment, you've got two choices - assign the entire series at once, or assign one day at a time. Clicking the <mark style="color:blue;">**Assign instructor**</mark> button next to their name will automatically assign every day of the series, whereas clicking the <mark style="color:blue;">**Assign instructor**</mark> button next to the date will assign just that one day.

<figure><img src="https://3412627069-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fdh5JD0cdH4KWbjolN2Aa%2Fuploads%2Fe67ZYRZK5P1DVHgohMcM%2Fimage.png?alt=media&amp;token=daa27b4b-e10f-40b2-92fd-7b47351b3f59" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}
**Note:** You will need to start an edit flow before you can make an assignment. Click the <mark style="color:blue;">**Edit schedule**</mark> button on the upper right corner of the page to start editing.
{% endhint %}

That just about covers it! Check out the video below if you'd like to see all this in action.&#x20;

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://knowledgebase.flaik.com/flaik-knowledge-base/for-sups-managers/scheduling/scheduling/private-lesson-assignment-module.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
