RTP - Private Lesson Additional Guests

This document will outline the optimal configuration in RTP to allow for all guests attending a private lesson to be displayed in flaik.

What are Additional Guest Products

Additional Guest products are a generic product in RTP that can be created & sold to ensure attendees other than the guest attached to the private lesson product order line are included in flaik. These products can serve various purposes, depending on the resort's needs:

• To capture additional guest details, which will in turn appear in flaik

• For waiver purposes - to indicate to the system that they are taking a product that requires a waiver to be completed

• To charge an additional participant fee, at resorts that charge additional fees for extra participants

It is necessary & beneficial to capture the Guest profile details in flaik for several reasons:

• Their names will appear to the instructor when they view the lesson in flaik.

• We utilize the email from the additional guest's profile to send out Survey, Relive Your Lesson and Report Card emails. If additional guests are not outlined, only the primary profile attached to the product will be displayed and receive emails.

• In Class Management and in Scheduling there are several areas that display guest history. You have the ability to see the last instructor and lessons that a guest took. If a guest is not captured in a private lesson and they return, the system has no way of recognizing them as a repeat customer.

Additional Guest Configuration supported in flaik

Automated flow from RTP:

1. Additional guest products must be sold in the same order as the Private Product that they are associated with.

2. Additional Guest products must be sold for the same product date as for the Private Product.

3. If a customer wants to purchase multiple private lessons for the same product date, we recommend that each of the privates and their related additional guest products are separated into unique orders. This will ensure that the system can recognize which guests are attending which lesson.

   • Multiple private lessons for the same date: Each private would need to be in a unique order with the applicable additional guest products added to the correct order for flaik to know which participants to associate with each private lesson.

   • Multiple private lessons, but only one per date: all the lesson products & additional participant products can be combined into the same order

Manually Entering additional guests into flaik

The scanning process is a manual way to bypass the additional guest product process directly in flaik.

1. If there are no associated additional guest products in an order, but there are more people attending the lesson, you can still capture the information by using the scanner.

2. In this scenario, the guest attached to the private product order line will be the only person to populate automatically.

3. To capture the other attendees, you can scan the instructor of the lesson and then the additional people that are in the lesson.

4. The system will recognize that the instructor is already assigned to a class and so it will add on the other scanned attendees directly into the class list of the original private.

5. The private must be assigned to an instructor in the flaik schedule for this to function properly.

Note: for resorts that require lesson attendees to complete a waiver, the waiver will need to be completed separately.

RTP Product Configuration Tips

Product Header

• Must be priced (even if it's just priced at $0) for the same date, sale location, and sales channel as the private lesson product it is sold with

• Rules: Customer Required = yes, Maximum Quantity = 1

• Authorization: add a waiver component if needed

Product Component

• Profile Type: General

• Inventory Pool/Roster: none required

• Statistic: no statistic required (even though they'll be in a lesson, the stat should only be on the private product itself to avoid double counting the same lesson)

Multiple Lessons

If an Additional Guest product is sold in order/transaction for the same date as multiple private lessons, flaik will associate the Additional Guest to the first private in the order for that product date. eg. if the order has two privates and an Additional Guest product all sold for Dec. 20th, the Additional Guest will be associated with the first lesson.
