3 | Payroll Provider Cheat Sheet

This page provides a template of questions and setup information that resorts should send to their payroll provider when setting up payroll export integration with flaik.

Important Notes for Your Payroll Provider

  • This integration is file-based only. There is no API integration available.

  • All data is sent via flat .CSV files.

  • Resorts are required to manually upload the file to the payroll system during the testing phase.

  • If testing is done through a web portal, please provide login instructions and upload steps.

  • Once the file has been tested and approved, flaik can automate delivery by sending the .CSV file to an SFTP or FTP server.

  • Please confirm whether resorts need to set up their own dedicated FTP/SFTP endpoint or if a shared one exists.

  • If there is a fee for FTP/SFTP setup, please disclose this up front.

Key Questions to Ask

  • Do you support importing .CSV payroll files?

  • Do you have a standard template for file formatting?

  • What specific fields are required in the file?

  • Are codes such as Paycode, Jobcode, Department, or Business Structure required?

  • Can you provide examples of accepted values for each required field?

  • Where should files be uploaded (web portal, FTP, SFTP)?

  • How are files ingested—manually or automatically?

  • Is there a log or error report when a file fails to upload or import?

  • Is there a test environment or sandbox for testing file uploads?

  • Is FTP/SFTP setup per client or general? Is there a fee?

If Using FTP or SFTP

Ask your payroll provider to provide:

  • SFTP or FTP server address (IP or domain)

  • Port number (e.g., SFTP uses 22)

  • Username and password

  • Remote directory path

  • PGP encryption requirements (and public key, if applicable)

Example Message Template

We are working with a scheduling platform called flaik, which will be sending a payroll export in .CSV format. In order to complete setup, we need the following:

  1. A sample or template of the .CSV format you accept

  2. A list of all required fields and accepted values

  3. Confirmation of where and how the file should be uploaded

  4. Credentials for an FTP or SFTP server, if applicable

  5. Any encryption or formatting rules you require

  6. Whether FTP/SFTP setup is per-client or shared, and if there is a cost involved

We will also need to test the file using a sample employee record. Please let us know how to proceed with testing and if we can use a sandbox environment.

Notes

  • Provide this page to your payroll provider as early as possible.

  • Testing cannot begin until your payroll provider confirms these details.

  • You will use their responses to build a working test file to send to flaik.
