Shifts - at a glance

Navigating to Shifts view
To find Shifts view, pull up the navigation bar on the left side of flaik and look for the Scheduling icon - hover over that icon and click on the Shifts link under Scheduling.

What Shifts view is for
Shifts are the foundation of Scheduling in flaik. You'll use them in concert with tasks in order to give your staff the whole picture on what their day will look like. At a minimum, shifts should convey:
Starting location
Type of gear to wear (i.e. discipline)
When staff should expect to start and finish work
Because shifts are simple in nature, you can apply them to all of your staff quickly. Shifts view is designed to let you get a head start on building your schedule for the upcoming season. We'll cover that in the next article - Applying Shifts.
Before you can start applying shifts to the schedule, you or a member of your admin team will need to create shift types in admin settings. Check out the Shift Types page to learn more.
Learning the interface
Below, we'll take a look at the individual components you'll see in Shifts view.
To start, you'll see a list of all your active staff down the left hand side, the days you can schedule in the middle, and the right hand action panel.

Staff
By default, all your staff members that appear in Staff Management will also appear on the left hand side of Shifts view. You can use the filters button to pare down the list by certain attributes. To learn more, check out Creating, Saving, & Sharing Filters.

Calendar (weekly & monthly view)
The middle of the page is dedicated to the calendar. You've got two views to choose from - weekly & monthly. Click on the date picker near the top of the page to toggle between the two.
The date picker is how you choose the date range you're working on. To change the date range, click on the day you'd like the calendar to start from. You can also use the arrows on either side to cycle between weeks or months (depending on the view you're in.)


Action panel
The action panel on the right side is for making changes to the schedule. Here's a breakdown of the tools you'll find:
Edit schedule will begin an edit flow and let you start applying or removing shifts from the schedule.
The dropdown menu for shift types will appear once you start editing. Use this dropdown to choose which shift you're applying to the schedule.
Auto schedule selected - To make this button clickable, select staff using the hidden checkboxes to the left of their names. Auto schedule selected will apply the shift in the dropdown menu to all the days your selected staff said they could work.
Show/Hide staff schedules lets you toggle visibility of the shift types on the schedule. This is useful for double-checking which days your staff said they're available (indicated by blank white tiles.)

Undo last action will undo just the last change you made. You can only undo once - if you need to start over, you can hit Cancel to return the schedule back to its original state before you started editing it.
Message staff will open a window where you can compose a message and send it to all the selected staff. Once you hit send, they will receive an email from [email protected].
Shift type totals
If you hover your mouse over the scheduled staff, you'll see a black panel pop up. This gives you a quick snapshot of how many instructors are scheduled on per shift type.

Scheduling legend
The scheduling legend can be found in the bottom right corner of the page. It's a handy way to refresh yourself on the types of shifts at your school & what colors they're associated with.
