Shift Types

Within flaik, we use Shifts to specify the day/area that someone is working and Tasks to specify the particular activities that they will be undertaking on that day.

Shift Types are the types of shifts that instructors can be scheduled onto in Month/Week view in scheduling. Basically, it's telling folks in a broad sense that they should show up for work this day at this time for this long.

  • They can be all day, AM or PM

  • You can choose what color it will be displayed in scheduling

  • You can choose their start and end times

  • Link to an availability code for your POS system

Change the settings for Shift Types by navigating to Admin Settings -> Product Settings -> Scheduling -> Shift Types.

In Edit mode you can:

  • Add a Shift Type

  • Delete a Shift Type

  • Modify a Shift Type

  • Toggle a Shift Type OFF/ON

Adding Shift Types

1. Click the blue Edit button on the right side of your screen

2. Click the Add a shift type button

3. Specify the name of the shift. You'll want to make this as clear as possible, i.e. Base Location A or Roundhouse Meeting Point.

4. Select a color swatch

5. Choose if you want to use AM / PM shifts in addition to the standard All Day setting.

6. Choose the start and end times (defaults are set up in Shift Time Configuration). You'll need to click on the time (e.g. 08:00 AM) in order to change it.

7. Input the POS Availability Code so that we can sync up this shift type to your POS system.

The POS Availability typically corresponds to the code in your POS when you schedule someone on as available to work for that particular day. We need to know this code so that when we push this data back to your point of sale it recognizes the area/shift and places it on the instructors schedule correctly.

8. Click Save

Deleting a Shift Type

1. Click the blue "Edit" button on the right hand side of the screen

2. Select the trash icon to the left of the Shift Type you are trying to delete

3. Click "Save"

Once a shift type is in use, you will not be able to delete it. The number of times a shift has been used will appear under the Usage column.

This is critical for maintaining metrics throughout your season. Also, this prevents the possibility of accidentally taking instructors off a shift or deleting tasks from their schedule.

Modifying a Shift Type

1. Click the blue "Edit" button on the right hand side of the screen

2. Click the down arrow to expand the shift type you are trying to edit.

3. Specify the name of the shift

4. Select the color

5. Choose if you want to use AM/PM shifts.

6. Choose the start and end times (defaults are set up in Shift Time Configuration)

7. Input the POS Availability Code so that we can sync up this shift type to your POS system.

The POS Availability typically corresponds to the code in your POS when you schedule someone on as available to work for that particular day.

8. Click "Save"

Note: you cannot modify Shift Configuration once the shift has been saved.

  • If you need to edit Shift Configuration, we recommend adding a new shift type with the configuration you prefer, edit any related instructor schedules, then once the old shift is no longer in use delete the old shift with the unwanted configuration.

Turning a Shift Type OFF/ON

You can deactivate scheduling areas that have been used in the past by turning off that area. When you deactivate a scheduling area, the system will prompt you to assign all existing schedules of this area to a different area. This is to ensure that when you deactivate a scheduling area, instructors that you have scheduled on will still be scheduled on.

1. Click the blue "Edit" button in the top right of the screen

2. Scroll over the toggle button to the left of the shift you are trying to turn off/on and it will ask to "Turn off" or "Turn on" the shift

3. Click the toggle button

4. If the shift you are trying to turn off is currently being used in the schedule, you will need to replace the shift with another one so scheduling data remains accurate. A modal will pop up asking you to select the replacement Shift.

5. Click "Done"

6. Click "Save"
