Applying Tasks - the basics

Use tasks to build a detailed schedule & give your staff a leg up on the day.

Changing the default filter

By default, only the staff that are scheduled for an On shift for the day will appear in Tasks view. You can change this by updating or removing the default filter. To do so, click on the Filters button at the top left corner of the page.

Here, you can choose to include all shift types or remove the filter entirely in order to view everyone who appears in Staff Management. You can also click + Add a filter and pare down the list of staff to just who is relevant for you - we recommend leveraging the staff groups & staff tags features to make filters even more useful. Assigning tasks to individual staff

Once you have staff who are scheduled for an On shift, you can begin to assign tasks for your staff on a particular day. Haven't scheduled anyone on yet? Check out Applying Shifts to learn how.

The following video provides an example of how to assign tasks to folks scheduled on to work for a specific day.

  • To get started, click the Edit schedule button in the action panel on the right.

  • Next click the schedule product category that relates to the task you are wanting to assign.

  • In the category, scroll your mouse over the task you want to assign.

  • Click and hold the task you want to apply to the schedule.

  • Drag the task onto the instructor you want to assign.

  • Save & Publish when you're happy with your edits.

Don't lose your changes! We recommend saving & publishing your scheduling edits often - at least once every 10 minutes.

Assigning tasks to multiple staff

The following video shows how to assign a task to multiple instructors at once.

  • Click Edit schedule.

  • Highlight all the staff you want by selecting the box to the left of their names with the blue check mark.

  • Then drag the desired task over to your selected staff simultaneously.

  • Click Save & Publish.


Moving tasks between instructors

Did your original plan for the day go all pear-shaped? No worries, changing a task assignment is a breeze.

  • To start, click the Edit schedule button on the right. (You might sense a pattern here.)

  • Hover over the task that you'd like to move. An icon with four arrows will appear on the left side of the task. It looks similar to the plus + symbol.

  • Click the arrow and drag the task to move it to a new instructor. The task will keep all of its attributes - for example, if you adjusted the duration or the note, your changes will carry over to the new instructor. If you've pre-assigned guests, they will carry over too.

  • If finished with editing tasks, click Save & Publish, otherwise continue to schedule tasks as needed.

In the video below, we'll show you how to create a task, add notes, and then how you move it between instructors scheduled on for that day. This is a pretty handy feature that allows you to keep any of the notes associated with that task while you move it - so you don't have to clear it from someones schedule and then re-create from scratch.

Changing shifts in Tasks view

Switch up someone's tasks for the day? You can make sure the shift type matches up without having to flip back to Shifts view. Here's how:

  • Click the Edit schedule button on the right.

  • Shifts are displayed to the right of your staff's names:

  • To change one, you first need to select the shift type you'd like to apply via the drop-down menu on the right. This menu will appear after you click the Edit button - just like how it works in Shifts view.

  • If the instructor doesn't have any tasks associated with them for that day, you can click on the existing shift once to remove it. You'll see that the shift is now open and the day has been greyed out from start to end.

  • Click again to schedule the new shift type. Repeat as many times as you wish.

  • Once your edits look good, hit Save & Publish.

Curious about the lock icon?

This icon means that staff member has tasks on their schedule, which means they must have an On shift. You can only delete shifts that don't have any tasks associated with them.

That said, you can still switch the type on On shift that's applied. To do so, simply select a different On shift from the drop-down menu and click on the locked shift you'd like to change. The shift type will change in just one click - it will not go to the open state.
