Get acquainted with Tasks view.

In the navigation bar, Tasks view lives just underneath Shifts view. Look for the Scheduling icon - hover over that icon and click on the Tasks link under Scheduling.

Scheduling has two other views - Shifts view and Instructors view.

If you're new to Scheduling, we recommend learning how to use Shifts view first. If you're already familiar with Shifts view, keep reading to learn more about Tasks view.


What Tasks view is for

Once you've applied shifts to the schedule, you can use tasks to provide your staff with specific details about their day. There are five types of tasks you can apply:

  • Group lesson

  • Private lesson

  • Program

  • Non-teaching

  • Hold/block

While Shifts view is catered towards getting a basic level of scheduling information applied to your staff's schedules in bulk, Tasks view is more geared towards providing your staff with as much detail as they need to carry out their job duties for the day. Because staff can access their up-to-date schedule from their phone, they can focus on what matters - being with your guests.


Learning the interface

Below, we'll take a look at the individual components you'll see in Tasks view.

On the left hand side, you have two tabs - the Inventory tab and the Guests tab. Both are essential to applying tasks. We'll explain the differences between the two below.

In the middle, you'll find the timelines for your staff schedules. By default, only the staff members with an On shift will appear here, but you can change that in Filters - we'll cover that in a bit.

The timelines are where you'll be assigning tasks. If you have access, you can adjust the range of hours in General settings.

If you don't have access to General settings but you believe the range of hours in Tasks view should be adjusted, please get in touch with your school's leadership team.

Lastly, we have the trusty action panel on the right hand side. There's a few more options here than in Shifts view, we'll describe each button later in this article.


Inventory & Guests tabs

When you're applying tasks to the schedule, the Inventory tab is where you'll find all of the tasks you can drag & drop onto the schedule. The Guests tab is where you'll go to keep tabs on who you have assigned to an instructor and who remains unassigned.

Inventory displays a list of all your tasks (grouped by their scheduling areas.) You use the inventory tab to find the task you'd like to assign - it's as simple as dragging & dropping. We'll cover that in Applying Tasks - the basics.

The search bar here will let you find a task by name, so you can quickly get to the task you want to apply without having to find its scheduling area first.

Note the colored tiles on the left. The number on the top corresponds to the number of guests who have purchased that type of lesson, and the number on the bottom corresponds with the number of times that task appears on the schedule. The box on the right calculates the ratio between the two so you can easily predict your class ratios and make adjustments as needed. In this example, our adult full day snowboard lesson is running 8:1 - sick!


Staff timelines

As we mentioned earlier, Tasks view will show you all the staff who have an On shift for the day by default. You can use the filters button to pull in Off shifts as well, or you can remove the default filter to see all your active staff in Staff Management. You can also set up filters to hone in on specific staff attributes, like teaching discipline or certifications. To learn more, check out Creating, Saving, & Sharing Filters.

Action panel

The action panel is available within most of the desktop features in flaik. In Tasks view, there's quite a lot to go over. Let's focus on the bottom half of the panel for now. We'll dive into the buttons related to editing the schedule in the next section: Applying Tasks - the basics.

Before you start editing, you'll still have the following buttons available to you in Tasks view.

View scheduling history

After you select one (or more) staff members, click view scheduling history to see a list of all the edits that have been applied to the schedule.

Upload sales

If you're using an active integration between flaik and your point-of-sale (POS) system, this button will not appear for you. If you're using flaik's sales upload tool to manually add your sales, you'll use this button to upload your sales data. Not sure which method your school uses? Daily Hill Report

Returns a .csv of all your staff assignments, organized by task.

Yard Report

Returns a .csv of all your tasks with breakdowns of all your guests, their ability levels, and ages.

Private Inventory Report

Returns a .csv of all the private lesson sales that flaik synced from your point-of-sale system.

Group Inventory Report

Returns a .csv of all the group lesson sales that flaik synced from your point-of-sale system.
