RTP - Fields for Private Lessons

There are several flaik fields available for Private Lesson details captured in the POS system. Below is a guide to the available fields in flaik and the RTP location the field is populated from.

If you have custom prompts configured in RTP that correspond with flaik fields listed below, please contact us at [email protected] to discuss whether it's possible for flaik to custom map to those prompts.

Guest / Customer Details

(Guest) Name - First and Last

  • flaik Name fields are populated with the Customer who is associated with the purchased product, i.e. the order line, rather than the purchaser of the product.

  • We will display this name directly on the Private lesson within Scheduling - Task View.

(Guest) Age

  • The flaik Age field is populated using the birthdate associated with the Customer’s Guest Profile in RTP.

(Guest) Email

  • The flaik Email field is populated from the Customer’s Guest Profile in RTP.

  • If no email is included on the customer's email profile and the Head of Household has an email available, the Head of Household email will be used.

(Guest) Phone

  • The flaik Phone field is populated from the Customer’s Guest Profile in RTP

  • If the Customer is a child and there is an Emergency Contact phone number in the Child Registration Form/Emergency Contact Profile, that phone number will populate the guest phone field. If neither the phone profile nor the Child Registration Form//Emergency Contact Profile is filled in, the phone number will be populated from the Head of Household phone field.

Emergency Contact

  • The flaik Emergency Contact will initially be populated from the Child Registration Form/Emergency Contact Profile first. If the Child Registration Form/Emergency Contact Profile is not filled in, the emergency contact will be populated from the Head of Household phone field. If the Head of Household phone field is not filled in, the emergency contact will be populated from the participant's phone profile.

Medical Information

Allergy - Food and Drug

  • The flaik Allergy fields is populated from the Child Registration Profile/Emergency Contact Profile.

Medication

  • The flaik Medication field is populated from the Child Registration Profile/Emergency Contact Profile.

Special Condition

  • The flaik Special Condition field is populated from the Child Registration Profile/Emergency Contact Profile.

Lesson Details

1. Product - Product Description (RTP)

  • The flaik Product field is populated based on the title of the product sold and associated to the order in RTP Order Processing.

2. Discipline

  • The flaik Discipline field is populated based on the discipline chosen for the private product during flaik Scheduling Product setup in flaik Admin Settings.

3. Lesson Date - Date of Lesson

  • The flaik Lesson Date field is populated from the date set in RTP Order Processing. The lesson will appear on the selected day in Scheduling - Task View.

4. Ability Level / Lesson Level

  • The flaik Ability level field is populated base on the Lesson Level field in Private Lesson Product Details in RTP Order Processing.

  • RTP Lesson Levels must be mapped by a flaik staff member to flaik Ability Levels.

5. Assigned Instructor

  • The flaik Assigned instructor is populated based on the instructor selected in RTP or flaik. In RTP, the field highlighted in the image below indicates the instructor who will be assigned to the lesson in both systems.

6. Start Time and Duration

  • The flaik Start Time field is populated by the Start Time field in RTP Order processing. The duration of the lesson is populated based on the sale associated with the Customer in RTP Order Processing.

7. Private Type - Assignment

  • The flaik Private Type is populated base on the RTP Assignment filed selection in RTP Order Processing. You can select Private Request or Private Assigned in RTP or flaik and that selection will be synced between systems.

8. Guests / Total Students

  • The flaik Guests field is populated based on the RTP # of Guests field in RTP Order Processing.

9. Meeting Location / Start Location

  • The flaik Meeting Location field is populated base on the Lesson Location field selected in the Private Lesson Product Details screen.

  • RTP Lesson Locations must be mapped by a flaik staff member to flaik Meeting Locations.

10. Notes / Comments

  • The flaik Notes field is populated based on the Comments filed in RTP Order Processing. For some resorts custom prompts will populate in Notes.

11. Requested Instructors entered in Notes field

  • Notes manually entered that indicating a requested instructor do not drive functionality in flaik and only serve to inform the schedulers.

Booking Date

  • This flaik field is populated based on the booking date in the RTP Private Lesson Modal Sales and Guest Information under Sales Information.

Ecommerce Platform Orders

flaik fields are populated based on the RTP fields listed above. If the ecommerce platform used does not populate the fields above, it may be possible to make custom prompts within your ecommerce platform to populate the relevant RTP fields.

If the ecommerce platform does not populate the relevant RTP fields that flaik pulls from, and instead drops order details into the Product Comments section of RTP, those details will populate the flaik Notes field. It is not possible for flaik to extract details from the RTP Comments field to map to relevant flaik fields.
