RTP - Updating Instructor Profiles & Creating Supervisors

Tips for setting up instructor profiles in RTP so that they can be successfully synced with their profiles in flaik

General

In order to sync schedules between systems, all instructors need to be configured in RTP in Customer Manager. As far as RTP is concerned, instructors are simply customers who have two specific profiles added - Instructor Profile & Instructor Discipline Profile.

Steps to Creating/Updating an Instructor in RTP

  • Create the instructor in Customer Manager (if needed)

  • Add/update their Instructor Profile (found under Instructor Profiles)

  • Add/update their Instructor Discipline Profile, creating at least one discipline profile (more can be added as 'Alternate' if applicable)

1. Create Instructor

  • In RTP, use the Go menu to navigate to Customer Manager.

  • Search for the instructor/customer to determine if they already exist in RTP.

    • If they exist, proceed to part 2

    • If they do not exist, continue on this step

  • Create a new customer, using the name of the instructor as the customer

    • Recommendation: while creating them, select a Customer Type of 'Instructor'

  • Update the first name, last name, email, & date of birth fields (updating the email and date of birth fields can aid future searches) as per your resort's process for adding employees to RTP.

2. Add/Update their Instructor Profile

  • In Customer Manager, navigate to Instructor Profiles > Instructor Profile.

  • Update the existing Instructor Profile if it exists; click on Add New if the profile doesn't exist.

  • Select each of the drop-down fields

    • Instructor Location - select their default location (eg your resort could have options such an 'Adults' and 'Kids' locations in RTP - pick the location that they're primarily based out of)

    • Supervisor - see below for information on creating supervisors in RTP if needed.

      • As flaik recommends creating generic supervisors for each supervisory area, this drop down list should be of 'pods' instead of actual supervisor names.

    • Rank - can be used to sort instructor search results in various system locations, with the lowest values representing a resort's most qualified/highest ranks instructors.

    • Instructor Status - pick from Full Time, Part Time, and any other statuses that have been created in your RTP instance.

    • Lesson Location - for resorts with multiple lesson meeting locations, this field can be used to designate their primary location. flaik recommends setting up just one location with a description of '.' except for unique and approved situations (talk to someone on our Customer Success or Managed Services teams for assistance with this).

    • Payroll System - leave as <none>.

    • Trainer - can be left blank. It is only relevant if a resort's instructor training signup and scheduling is handled in RTP instead of flaik.

3. Add/update their Instructor Discipline Profile

  • After updating the Instructor Profile, proceed to adding or updating Instructor Discipline Profile.

  • All instructors need to have at least one Instructor Discipline Profile, but they can have multiple depending on their credentials (eg a dual cert instructor qualified to teach both skiing and snowboarding).

  • Select each of the following drop-down fields

    • Type - RTP will only allow on 'Primary' entry, all additional entries should be added as 'Alternate'. eg an instructor that mostly teaches alpine skiing but is also certified to teach snowboarding and nordic will have those two sports added as 'alternate'

    • Lesson Discipline - select the applicable discipline from the list. More can be added in Administration if needed (eg 'Mountain Biking').

    • Max Level - select what level that instructor can teach in that discipline. For resorts that allow staff to assign instructors when selling privates in RTP, it is a useful tool to prevent less qualified instructors from being attached to lessons above their skill set/comfort level.

Optional Steps

  • Instructor Pay Profile -

    • Required: If your payroll information will be interfacing directly from RTP to your payroll system

    • Not Required: If your payroll information will be interfacing directly from flaik to your payroll system

  • Language Profile - can be useful if sales staff utilize the Language filter when searching for private instructors in RTP

  • Instructor Certification Profile - can be useful if sales staff utilize the Certification filter when searching for private instructors in RTP

Creating Supervisors

Before an Instructor Profile can be created, there needs to be at least one 'supervisor' created first.

flaik recommends creating generic supervisors (eg with a name like 'SS Supervisor') instead of using the customer profiles of the actual supervisors. If supervisors change roles or leave the SS, all applicable instructor profiles would need to be updated accordingly, but if generic supervisors are created then all the instructor profiles don't need to be updated.

A supervisor will need to be created for each Instructor Location being used at your resort, creating a 1:1 ratio of Instructor Locations:Supervisors. Their names can reflect the lesson locations - eg with names such as SS Adult Supervisor and SS Kids Supervisor.

  • In Customer Manager create a customer

  • Go to Instructor Profiles > Instructor Supervisor Profile

  • Click on Add New. Select the applicable Instructor Location
