Creating An Evaluation

Start by navigating on the left side menu to Performance and then Evaluations:

General Details

To get started:

  • Click on Create New Process:

    • Use an existing process as a template

      • Allows the new evaluation to use the format of a previous template.

      • Duplicates the evaluation settings, categories, and assessment items.

    • Create a new process from scratch

      • Creates a blank process - no settings or data will be brought across.

      • Requires the user to create new questions, scoring metrics, etc.

  • Enter in an Evaluation Title.

  • Start Date:

    • Evaluators will be able to see and access the evaluations as of the start date selected.

  • End Date:

    • As there can only be one active evaluation process at a time, the end date closes out the process.

    • The end date can be edited. For example, an end date far in the future can initially be set and then it can be updated once the process has been completed.

  • Evaluation Scale:

    • Multiple options to pick from for both range and increment scale.

    • The same scale will be used for each question & category in the evaluation

  • Employee Metric Date:

    • A snapshot of all the instructor metrics for the season through to the date selected.

    • Metrics for all staff are taken as of the same date, so that staff evaluated later don't benefit from additional time to accumulate work.

    • Can be set for the past, present, or future.

Evaluation Criteria

  • Click on Add Evaluation Category.

    • A category is for grouping one or multiple Evaluation Assessment Items (eg the questions on the evaluation) that are similar. eg there could be categories for Professionalism (with assessment items for topics such as punctuality, uniform, attendance, honesty & integrity, etc), Teaching (which could include items such as technical skills, teaching methodologies, etc), Safety (following the safety procedures, promotes a safe work environment), etc.

  • Enter in a Category Title (eg 'Professionalism') and Description.

  • Select 'Allow evaluators to leave comments for this category' if applicable.

    • This allows evaluators to add personalized comments, which will be visible to the staff member once the evaluation has been published.

  • Set the evaluation scale for this category:

    • Provide written descriptions for the evaluation scale (eg 'below expectations', 'at expectations', 'above expectations').

  • Click on Add Evaluation Assessment Item to provide specific items that staff are being evaluated on.

    • Update 'Required field' and 'Compare to previous evaluations' as needed.

  • Add further questions and categories as required.

  • Click Save Draft once complete.

  • Every evaluation also automatically includes sections for Goals & Accomplishments, Supervisor Comments, & Rehire Status.

Notes

  • Only one evaluation process can be happening at a time.

  • To start a new evaluation process, any previous evaluations must be completed.
